Job Description

This role provides an exciting opportunity for a talented individual looking to looking to flex their analytical prowess in combination with portfolio management. As an integral member of the Global Project Management Office, this role is responsible for the project governance and ensuring project teams compliant with execution and reporting per the NPD process. This role also facilitates and manages the communication, execution, reporting, and improvements of at least one Project Approval Board (PAB).

 

As an integral member of the Global Portfolio & Systems Management team, this role works cross-functionally with PMO, Strategy & Portfolio Management, Finance, and/or functional teams in order to assess project budgets, timelines, and resource plans for the assigned portfolio. This position performs ad hoc analyses, balance day to day activities, and provides tactical support on a broad range of projects of strategic importance to Olympus as well as lead other PMO initiatives as needs arise.

Job Duties

  • Leads maintenance and improve of Governance Process, guidance documents, and presentations through global and regional harmonization.
  • Manages Board (PAB) including meeting coordination, minutes/actions, and other deliverables. Owner of improvement efforts and action item tracking.
  • Review presentation materials in advance of board meeting and provides feedback to presenters. Ensures presenters are meeting requirements and presentations are well structured.
  • Communicates verbal and written monthly reports to key stakeholders through the timely preparation of reports, dashboards and scorecards in a user-friendly manner.
  • Business leader of new product development key performance metric communication to board members and stakeholders to ensure metric reporting is consistent and clear across the portfolio. Work with PMs and PEO organization to understand drivers and project implications of results.
  • Optimizes the NPD portfolio by requesting activation of new projects based on resource and budget availability, close management of budget performance, and execution tracking.
  • Core team member of the Project & Portfolio Management Tool (PPM) representing interest of PMO and performs team assigned duties.
  • Responsible for analyses, compilation, verification of data integrity, development, and delivery of reports critical to the division’s strategic plan with excellent attention to detail.
  • Develop visual representations of gathered complex data/relationships to convey key information succinctly and unambiguously. Ensure that the methodology and assumptions used to develop the output are clearly documented, accurate and repeatable.
  • Partners with other analysts and portfolio managers to drive project and portfolio data accuracy, analysis best practices, and compliance to system requirements. This includes but is not limited to project information, schedules, budgets, resource plants, etc.
  • Manages the education and training of relevant processes, tools, and best practices.
  • Collaborates with Strategy & Portfolio Management, Finance, PMOs, Office of the CTO, Global BUs, and other functions as necessary to support SBP, LRP, FY planning, and other processes.
  • Performs all other duties as assigned.

Job Qualifications

Required:

  • Bachelor’s degree in Engineering, Finance, Business, Economic, Marketing, or similar quantitative field.
  • Minimum of 5 years of experience in analytics, project and/or portfolio management, business process development, corporate strategy, or related field.
  • Required to have experience presenting to various levels of senior leadership with the ability to tailor presentation needs to different audiences.
  • Advanced mastery of Microsoft Office (Excel, MS Project, PowerPoint).
  • Excellent analytical and complex problem-solving skills with proven expertise in creating reports and tools to analyse and evaluate data using Excel, pivot tables, queries, equations, etc.
  • Ability to synthesize information from multiple data sources, draw relevant and actionable conclusions, and handle multiple projects simultaneously with minimal direction.
  • Proven track record of developing presentations and communicating data analysis and results to assist decision-making for leadership. Crafts presentation messaging, slide content, and visuals to different audiences with excellent and clear graphic design elements.
  • Demonstrates strong organizational and planning skills; strong interpersonal and relationship building skills with ability to work collaboratively in a team environment.
  • Ability to multi-task while ensuring careful attention to detail to deliver high quality work.
  • Excellent time management & project management skills.
  • Has a high regard for customer service, able to drive others to get work done, leads collaboration, able to anticipate stakeholder and client needs in advance.
  • Excellent written and spoken communication (English required, Japanese a plus) with excellent active listening skills. Effective in a variety of settings: one-on-one, small and large groups, or among diverse styles and position levels and provides the stakeholders with a compelling reason to listen.
  • Capable of large-scale event coordination and facilitation.
  • Proactive self-starter with a sense of ownership and passion to learn.
  • Ability to travel domestically and/or internationally up to 10%.

 

Preferred:

  • MBA or Masters in relevant field preferred.
  • Medical device experience preferred.
  • Experience in working in a matrix organization with great collaboration skills in a multicultural or international environment preferred.
  • Advanced capabilities in visualization BI tools (PowerBI, Tableau, etc.) preferred.

The anticipated base pay range for this full-time position in this location is $91,148.00 - $123,049.00 / year, plus potential for annual bonus (subject to plan eligibility and other requirements).
