Job Description

This is an exciting opportunity for someone looking to bridge the collaboration between the Global Project Management Office (gPMO) and Information Technology (IT) teams for the management of the medical Global Project & Portfolio Management (PPM) Tool for the medical device portfolio. They will be responsible for leading the business team to determine system requirements, harmonizing requirements across all regions/functions, and communicating and working closely with IT to ensure the requirements are implemented per business feedback. This includes the collaboration across multiple levels of the organization to ensure the system, inputs and outputs, meets the needs of our customers and end stakeholders (project managers, portfolio managers, resource managers, rPMOs, Strategy, Finance, executive leadership, etc.). 

 

The Global Business Process Owner will be responsible for all change management activities associated with the implementation and training of new features inclusive of process documentation and maintenance of the PPM training site. They must have excellent attention to detail and team management skills in order to communicate progress, actively manage the demand pipeline and prioritization, and ensure IT partners are supporting business needs in a timely manner. This position will represent the interest of the gPMO when collaborating with IT to plan the global PPM strategy for Olympus. They will have direct reports responsible to ensure PPM stakeholders can leverage the PPM Tool to achieve dynamic project & portfolio management as well as empowering the rPMOs and PEOs to plan projects and improve project execution. This includes but is not limited to data accuracy validation, system user support, training and education, and training center maintenance. 

Job Qualifications

Required:

  • Bachelor’s degree in Engineering, Business, Computer Science, IT, Economics, Marketing, or similar relevant field required
  • Must have experience in using and/or implementing/maintaining a project & portfolio management tool.
  • Minimum of 2 years’ experience in managing direct reports. 
  • Experience in using and/or implementing a PPM Tool such as Microsoft Project Web App, MS Project Online, Clarity, Primavera, Planview PPM, etc.
  • Advanced mastery of Microsoft Office (Excel, MS Project, PowerPoint, PowerBI, Teams, SharePoint)Required to have experience presenting to various levels of senior leadership with the ability to tailor presentation needs to different audiences. 
  • Ability to travel domestically and/or internationally up to 15%. 

 

Preferred:

  • Master's Degree in Business Administration, Technology Management, Information Systems or relevant field preferred
  • Minimum of 5 years’ experience in project management, portfolio management, resource management, analytics, corporate strategy, enterprise application implementation, or related field preferred.  
  • Medical device, pharma/biotech, life science, or similar regulated industry experience is a plus. 
  • Certification in Project Management Methodology (PMP, PMBOK, Agile, etc.) a plus.
  • Experience in working in a matrix organization with great collaboration skills in a multicultural or international environment.
  • Excellent analytical and complex problem-solving skills with proven expertise to deal constructively with problems that do not have clear solutions or outcomes.
  • Keeps up with current and possible future policies, practices, and trends in the organization to incorporate business insight into PPM team management.
  • Able to effectively communicate technical process and terms to non-technical customers. 
  • Demonstrates strong organizational and planning skills; strong interpersonal and relationship building skills with ability to work collaboratively in a team environment globally. 
  • Advanced written and spoken communication (English required, Japanese is a plus).
  • Managerial experience overseeing the work of other professionals, along with the understanding of the administrative responsibilities of a supervisor.

Job Duties

  • Overall responsible for the PPM Tool business process design and business team operation to ensure system meets the needs of our end stakeholders. 
  • Owner of PMO Enablement strategy and execution to ensure that input and output tools are designed to assist analysts to quickly audit PPM data for accuracy and completeness in order for business leaders to make agile business decisions.
  • Manages a team to achieve dynamic project & portfolio management goals and objectives globally. 
  • Acts as the project manager of the PPM business core team: hosts core team meeting host, distributes minutes, ensures execution is on track with all workstreams and provides transparency to progress, effectively facilitates harmonization and trade off discussions, etc. 
  • Accountable for the coordination and prioritization of the demand pipeline to balance fiscal year goals/objectives, PPM business core team requests, and ad hoc issues that require action. Collaborates with IT to align priorities and ensure workload remains steady. 
  • Performs trade off assessments to determine feasibility, benefits, and risks of a change or new features.
  • Evaluates business processes, clarifies needs, and translates requirements from PPM business core team to IT partner(s) to ensure the system reflects current and/or future business processes. Describes what should happen, when, and why in detail.
  • Assesses final features from IT to validate correctness before IT implements final designs.
  • Executes and directs general user training for the implementation of new features leveraging direct reports and by collaborating with IT and/or PPM business core team members affected by the change. 
  • Leads the redesign and maintenance of the current PPM Training Portal to ensure it remains updated with the implementation of new features. Ensures there is an updated and maintained on-boarding curriculum by user group. 
  • Communicates change management activities clearly and timely to those impacted by updates. This includes any communications to senior leadership to provide progress updates on the PPM tool. 
  • Establishes a strong working relationship with IT and business leads of other PPM systems in Olympus. Represents gPMO needs for global integration of requirements.  
  • Performs all other duties as assigned.
