The Compliance Program Support Specialist under the direction of the Compliance Business Partner supporting Olympus America Inc. – Medical Systems Group (OAI MSG). They maintain responsibility for supporting day-to-day compliance activities to ensure the effective and efficient operation and continuous improvement of the Olympus Corporation of the Americas (OCA) Compliance Program. They will primarily work with the Compliance Business Partner for MSG and will provide support to other Compliance Managers and Officers as needed.  They will coordinate, research, and collect materials and data to support the creation and submission of documents. The successful candidate will manage new hire training and national sales meeting activities to provide OAI MSG sales and marketing representatives and liaisons from other Olympus regions with an understanding of OCA’s Code and compliance policies.  They will lead the preparation and delivery of communications responding timely to inquiries or reports to Compliance. They will devise and implement measurement-based reports related to risk mitigation plans, using appropriate technologies, systems, and spreadsheets to assist the OCA Compliance Officer and Business Partner Team in continuously improving the OCA Compliance Program.

Job Duties

* Assist the Compliance Business Partner OAI MSG with enhancing, further developing, implementing, maintaining, and continuously improving OCA’s Compliance Program

* Apply knowledge of OCA policies and industry leading practices when developing, revising, and updating compliance policies, procedures, and written standards in collaboration with business stakeholders

* Develop and exert influence in the revision of compliance trainings and related communications for business stakeholders regarding the OCA Compliance Policies and related risks

* Manage the execution of risk assessment processes to continuously evaluate risk areas and priorities to guide new compliance activities and continuous improvement efforts

* Actively manage open risk mitigation plans and influence action owners to ensure timely completion of  assigned actions 

* Serve as the primary contact for the OCA Compliance help email and phone lines to ensure timely response to inquiries from business stakeholders

* Assist the Head of Global Compliance Operations with the administration and management of special projects, compile project results and other outputs to facilitate team discussions, including, but not limited to, projects relating to Global Operations, working under general guidance and supervision using initiative and independent judgment

* Organize meetings and interactions within the Compliance Program's network of partners to help drive decisions, facilitate compliance with continuous improvement initiatives, prepare background materials, and agendas, and provide general support to enhance the effectiveness of such meetings

* Develop and implement helpful and informational field guides, process flows, decision trees and similar informational tools and resources relating to written standards for direct distribution to business stakeholders

* Interact with and quickly respond to questions/requests for information from business stakeholders

* Prepare regular reports and engage in frequent and effective communications, both written and verbal, with the Compliance Officer and Business Partner Team regarding corrective actions, date sensitive information, and important Compliance priorities

* Demonstrate and maintain a working knowledge of federal, state, and international compliance laws, rules and regulations and OCA's Compliance written standards

* Serve as second-line of contact for the Compliance Business Partner OAI MSG, receiving and addressing inquiries from internal and external personnel, business partners, and customers

Job Requirements



* Bachelor's Degree or equivalent combination of education and experience required


* Minimum of 3 years of experience in a business setting preferably in a compliance or related discipline


* Ability to proofread documents and forms for spelling, grammar, formatting and clarity required


* Accurate data entry skills and attention to detail


* Demonstrated strong project management skills and capabilities including coordination of requests for proposals


* Computer Proficiency e.g. Office 365, MS Office Suite (Outlook, PowerPoint, Excel, Word, SharePoint, Teams, etc.), Smartsheet, Internet, SAP, Concur


* Excellent written and verbal communication skills, teamwork/collaboration, problem solving, strong organizational ability, results oriented, and adapts to and acts as a catalyst for change


* Ability to travel domestically up to 5%



* Degree in compliance, law/legal studies, accounting, business, science, or healthcare an advantage. 

* Proficient understanding of fraud and abuse, anti-kickback or other health care compliance laws rules and regulations applicable to medical device companies strongly preferred.
