Job Description
To support the successful execution of Medical Expert Training (MET) Professional Education programs. Typical functions include but are not limited to: event coordination, database maintenance, logistics sourcing, vendor management, processing, oversee and facilitate compliant contracting practices between OCI Prof Ed groups and HCPs, tracking and reporting Health Care Provider (HCP) and other course related payments, statistical reporting, process improvement, ensuring all transactions are compliant and properly documented and general administrative tasks associated with Professional Education programs. This role requires analytic, administrative and operational skills for projects execution
Job Duties
* Schedule, coordinate and contract all logistics for educational events with minimal supervision.
* Identify necessary logistics for professional education courses and work with team to ensure timely bookings. (i.e. hotel, AV equipment, food, beverage, ground transportation, conference space, etc.).
* Determine (in collaboration with Clinical Educators) relevant course materials, products, models, and non-inventory items required for a course, and ensure timely delivery .
* Works collaboratively with Clinical Nurse Educators and Asset Management team to ensure all equipment is ordered and delivered to professional education events.
* Obtain and maintain necessary approvals for all course related materials.
* Provide onsite support to professional education courses and when necessary be the lead for onsite courses, which may include running meetings and being the point person for onsite questions and decision-making.
* Execute the overall operations of Prof Ed training events to deliver safe and effective programs, with a high level of quality.
* Willingness to take on administrative tasks such as filing, scanning, creating name badges and certificates and processing office supply orders.
* Communicate and interact professionally with HCP’s in person and through other communication methods.
* Effectively communicate policies and procedures and Compliance requirements to HCPs, internal personnel, and Facilities.
* Review, facilitate, and track requests for professional consulting services agreements (“Agreements”).
* Perform other related tasks as required.
Job Requirements
REQUIRED QUALIFICATIONS:
* Associates degree and a minimum of 2-3 years administrative/coordination experience and/or other relevant experience in lieu of degree.
* Experience with contracting and purchasing is required.
* Experience with process management and/or process improvement activities is required.
* Minimum of 1 year of relevant working experience with educational projects or digital educational content development.
* Ability to travel 20% of the time Overnight travel required Ability to work some week-ends. Travel via airplane required.
PREFERRED QUALIFICATIONS:
* Event planning, project management and/or customer service experience.
* Experience with federal and provincial healthcare reporting strongly desired.
* Experience with media, learning technologies and communication digital platforms.
* Experience with Project management and events/ corporate activities coordination.
* Proven experience providing customer service.
* Computer proficiency (Microsoft Office Suite, Visio, IN Design and other systems used by Olympus).
* Knowledge of Federal Healthcare laws and reporting requirements preferred.
* Strong analytical skills are required.
