Job Description

The Administrative Assistant performs a variety of administrative duties to ensure that Service & Repair and Operations departments heads as well as other ExCom members can focus on business concerns and execution of tactical strategies.

Job Duties

* Provide administrative support including completing necessary forms filing data entry and all supporting administration duties Communicates with the Mail Room staff to arrange for shipments and pick-ups.
 

* Coordinate and book travel arrangements for meetings events for OCI personnel guests i.e., ground transportation meals hotel etc.
 

* Prepares and distributes travel itineraries. Makes arrangements for dining and other events including team building.
 

* Prepares and submits monthly AMEX expenses for Director of Service and Repair through Concur. And ensures the account is fully paid quarterly.
 

* Prepares purchase orders for Service & Repair and Operations departments including securing invoice approvals and assisting with cheque requisitions
 

* Organizes and maintains files of departmental records literature and reports.
 

* Maintain records and provide reminders of annual safety requirements and certificates.
 

* Provides reception support as the primary backup.
 

* Greet Customers and covers Reception lunch on a daily basis and coordinates time off requests with the Receptionist.
 

* Alternate’s attendance of company meetings with Receptionist.
 

* Submitting PR request in SAP, manual PO for AMEX expenses- (weekly)
 

* Updates Service & Repair Organization Chart and ensures it is published and posted on white boards monthly.
 

* Verify PO matches invoice and send through DocuSign.
 

* Orders and submits expenses for weekend (Saturday) catering.
 

* Approving Director or S&R direct report hours in ADP.
 

* Ensures Onboarding document and process is completed, and attestation is included in On-boarding binder.
 

* Assist various departments (HR, Operations, Marketing) when and if required.
 

* Works on special projects and performs other duties as directed.

Job Requirements

REQUIRED QUALIFICATIONS:

 

* College Administrative Assistant Certificate and minimum 1 year of relative work experience or High School Diploma and minimum two years of relative work experience preferred.

 

* Microsoft Windows environment required (Word, Excel, PowerPoint, Internet, and E Mail) required.

 

PREFERRED QUALIFICATIONS:

 

* Business etiquette training preferred.

 

* Strong written and verbal communication skills

 

* Excellent organizational skills are required with attention to detail and the ability to multi-task.
