Job Description

The Sales Operations Specialist is the primary point of contact for U.S. customers, Affiliates and the Olympus sales team, and is responsible for the accurate and timely processing of product orders and billable procedure information. The Customer Service Representative works collaboratively across the organization to ensure a superior customer service experience for both internal and external customers.

Job Duties

In a typical day, you will:


* Initiates and coordinates all U.S. and Olympus Affiliate product shipments, enters order information in SAP in an accurate and timely manner, audits product shipments.


* Coordinates with Account Acquisition Specialist to ensure customer accounts are qualified and that established procedures are followed to enable product shipment.


* Develops and maintains customer contacts and relationships, coordinates all customer-related activities including fielding questions, problem-solving, communicating status updates on shipments, contracts, literature, and other support materials.


* Provides ongoing training and support to field representatives and customers for order placement, accurate/timely submission of procedure documentation, and product return.


* Documents and communicates issues to relevant stakeholders, identifies and implements solutions to improve processes and communication.


* Supports revenue recognition efforts by working with field representatives and finance to reconcile missing information and obtain billable POs


* Reviews shipping and product utilization documents received from customers and sales team for completeness.


* Gains resolution/clarification on various issues and ensures completion of required documentation by conducting research and proactively communicating with sales, customers, material handler and finance.  


* Enters product usage into SAP to enable invoicing, notifies Quality for documented product issues.


* Actively maintains records, enters data in CRM, and provides reports required for compliance, pulling data from various sources.


* Coordinates with the material handler to maintain the “open order report” to provide up-to-date outstanding product/procedure/documentation information to the field and internal stakeholders.


* Provides support for sales operations and marketing projects, as assigned.


* Provides back-up support for Account Acquisition Specialist.


* Perform other duties and assignments as required and assigned.

Job Requirements


* Minimum of High School Diploma or equivalent required.

* Minimum of four years customer-facing experience is required.




* College degree strongly preferred.

* Experience in the medical device or pharmaceutical industry is strongly preferred.
