Job Description
The Service Repair Administrator supports the majority of distributor contact functions for the repair process including obtaining repair approvals, processing repair orders through approved company data entry systems, report generation, and telephone support. The Service Repair Administrator works with a high level of distributor focus and interaction and requires that all responsibilities be completed with a necessary sense of urgency in order to meet Quality, Cost and Delivery goals. Following training, the administrator serves as liaison between Olympus and distributors/customers for repairs performed at Olympus Service Centers.
Job Duties
- Receive, process, maintain and control repair claim cards.
- Coordinate delivery and documentation of damaged instruments for evaluation.
- Generate files for parts under warranty.
- Email repair estimates and inspection results.
- Maintain communication with distributors regarding claim status.
- Follow up on replacement units and parts orders.
- Maintain database information for loaner, warranty and recall programs.
- Coordinate destruction records through exchange programs.
- Provide pricing for parts, repairs, exchange programs and loaners.
- Prepare documentation for history updates in JDE.
- Handle export procedures and logistics for Latin America shipments.
- Work closely with freight forwarders and ensure delivery commitments.
- Cross-train staff by country and function.
- Archive export files electronically for compliance.
Job Qualifications
Required:
- Highly motivated, dedicated and flexible; able to multitask.
- Minimum 3 years of customer service and logistics/export experience in Latin America markets.
- Associate degree required or equivalent experience.
- Strong analytical, organizational and communication skills.
- English and Spanish required; Portuguese preferred.
- Strong computer skills including Microsoft Office.
