Job Description

The Process Manager for the HCP Consulting Management Team is responsible for managing the HCP/O Engagement Management Software platform including first level system support, training, vendor coordination, and testing, as well as process monitoring for the HCP Consulting Management department to ensure compliant interaction handling in the workflow software and documentation output. This position will work with Management and Stakeholders to improve workflow and processes and will maintain documentation for all departmental policies and procedures. 

Job Duties

  • Act as subject matter expert and administrator of the workflow/Engagement Management Software for all HCP/O activities in the Americas Region. Identify issues, problems, and potential improvements within the system. Manage, test, and approve service requests and system fixes to ensure tool is functional and productive for the system users. 
  • Act as project team member for Americas region for new software projects, including requirement gathering, system implementation, and system testing.
  • Monitor HCP/O Consulting management processes in the Americas region to ensure compliance with applicable laws and Olympus policies and procedures.
  • Manage HCP Engagement Management Software processes, which may include identifying areas for process improvement, implementing and training on new or revised processes, and documenting current processes. 
  • Identify and implement software training plans based on the training needs for business stakeholders. Execute end-user training on HCP Engagement Management Software to educate stakeholders on the system processes and best practices to ensure compliant industry interactions with HCPs.
  • Possess a high-level understanding of Fair Market Value as it relates to HCP Consulting services to ensure proper implementation and maintenance in the HCP Engagement Management Software.
  • Write and update Standard Operating Procedures (SOP), Work Instructions, and Work Process Aides. 
  • Create and maintain reports and dashboards for various process outcomes and deviations.
  • Participate in auditing and quality control practices to ensure accuracy across all designated process control points. 
  • Other related job duties as assigned.

Job Qualification

Required:

  • BA/BS Degree in business administration, or related field is required.
  • MA/MS Degree in business administration, or related field is preferred.
  • Minimum of 3 years' experience in project management and system administration preferably within a medical device/pharmaceutical company.
  • Experience working in a global cross-functional team (functional/matrix) environment and knowledge and/or experience working with groups with varied cultural backgrounds and learning styles is a must.
  • Experience with process management and/or process improvement activities is a must. 
  • Experience with software system implementation and maintenance is a must. 
  • Other Considerations (travel/hours availability, etc.): Occasional domestic and international travel (< 10%), including weekend and evening travel as needed.

 

Preferred:

  • Knowledge and ability to navigate and apply corporate compliance policies to all interactions.
  • Comfortable liaising with Legal and Compliance departments to educate and communicate applicable process and procedure issues and potential improvements.
  • Ability to present data in a clear concise manner to a variety of audiences.
  • Strong software skills (Word, Excel, Power BI, PowerPoint)

  • Ability to administrate HCP Engagement Management Software platform (IQVIA)
  • Ability to work independently, prioritize multiple projects, and meet deadlines. 
  • Attention to detail. 
  • Strong collaboration skills with internal and external partners.
