Job Description

The Service Parts Specialist is responsible for managing and monitoring the inventory of service parts. This includes the review, analysis, and evaluation of Service Delivery business processes, systems, and user needs specific to service part set up, movement, auditing and reconciliation, calibrated tooling, and inventory planning. The role shall document requirements, define scope and objectives, and formulate processes and systems to parallel overall business strategies and financial accountability through reporting and key performance indicator measurements. Responsibilities include program management, monitoring service parts workflow, systems (SAP ECC and and process development as it pertains to service parts, calibrated tooling, and billing.


This role is also responsible for field service compliance regarding parts management, ordering, consumption, returning, and invoicing accuracy, as well as research and correction for repair part transactions. Responsibilities shall include ways to improve system monitoring, discover issues and deliver proposed solutions. In this role, you will report to the Senior Manager of Technical Engineering and Quality, and will work closely with Inventory Planning & Purchasing, Warehouse, Trade Compliance, and Service Delivery, Field Service, Technical Assistance Center, Field Support, Process Engineering, Program Management, Quality, and Service Marketing teams. This role is also responsible for supporting that Service Delivery follows required quality standards including the FDA Quality System Regulation and ISO 13485.

Job Duties

* Ensure new products are set up; submission, tracking, confirmation parts are in the system for ordering to ensure Service Readiness with New Product Introductions (NPIs) and New Repair Introductions (NRIs).


* Manage the on-hand inventories for parts inventory, with on hand, on order, and consumption analysis. Evaluate trunk stock levels to reduce carry costs.


* Collaborate with the Warehouse, monitoring returned parts received in the system and restocked by identifying root cause and creating systematic or process improvement.


* Create and manage the Service Parts Audit Program conducted in the Field by Managers and self-audits by Field Service Engineers.


* Run the calibrated tooling program with third party vendor.


* Manage auto replenishment process end to end and ensure all the steps are completed for onboarding/exiting employees, including stock transfer. Oversees trunk stock cycle counting and manage the min/max inventory.


* Serve as point of contact between Field, Support Staff, and Inventory Planning and Purchasing to monitor backorders and to request consigned parts (trunk stock vs. employee) adjustments in SAP ECC to correct billing issues. Maintain the approved service parts process in the Service Parts Database and ensure parts are dispositioned in the system appropriately.

Job Requirements



* Bachelor’s degree in business or supply chain related degree, or equivalent knowledge.


* Minimum of 2 years’ experience working in a regulated environment such as FDA, ISO 13485, and/or medical device company. 


* Project management experience required


* Experience managing inventory programs.




* Knowledge of FDA regulations, ISO 13485 and HIPAA for medical devices preferred.


* SAP ECC and/or system knowledge preferred.


* Proficiency in Microsoft Office (Excel, Word, and PowerPoint), Visio, and MS Project.


* Strong computer skills experience with developing spreadsheets and dashboards (charts/graphs/pivot/VLOOKUP’s tables).


* Ability to manipulate data and reports.


* Strong written and verbal communication skills including technical writing skills.


* Robust process mapping and writing.


* Robust troubleshooting and analytic skills as well as extraordinary attention to detail.
