Job Description

The Senior Leaves and Accommodations Specialist will be responsible for the management of all of Olympus’s integrated disability and leave of absence programs including FMLA, Parental Leave, ADA, Workers’ Compensation, and disability management. This role will serve as the subject matter expert on leave programs and will manage relationships with third-party leave administration vendors. Ensures consistency and compliance with applicable federal, state and local leave of absence laws and company policies. Performs a wide range of activities to develop, administer and communicate the organization’s leave policies and programs. As a member of the HR team, responsible for building and maintaining positive working relationships with team members, internal customers, and external vendors. Take appropriate actions to support a diverse workforce and participate in the organization's efforts to create a respectful, inclusive, and welcoming work environment.

Job Duties

* Oversees and serve as subject matter expert for all Olympus’ leave of absence and accommodations programs, including workers compensation and disability programs, ensuring all leaves are in accordance with company policy and applicable laws.

 

* Co owns the Leave of Absence and Accommodations policy and will periodically review the policies and make recommendations based on regulatory or program specific changes.

 

* Provides instruction, training and direction to Leave Administrators throughout the company to ensure consistency, balance of cases and compliance.

 

* Counsels and advises HR Business Partners, Leave Administrators, managers and employees on topics and procedures related to Leaves of Absences and Accommodations.

 

* Subject matter expert on federal and state related leave laws. Ensures all leave matters are compliant with FMLA, Parental Leave, ADA, Workers’ Compensation, disability federal and state laws.

 

* Administers frequent audits on all leave programs to ensure process and regulatory compliance.

 

* Coordinates return to work in collaboration with the leave administrator.

 

* Participates on the workers compensation review committee.

 

* Counsels and educates employees about terms and conditions of Olympus’s short and longer term disability insurance plans.

 

* Assists with evaluation and tracking of accommodation requests, maintains overall KPIs relative to leaves and accommodations. Analyzes leave and accommodations trends and make recommendations for adjustments to process, continuous improvement, and assists with complex cases.

 

* Ensures that the HRIS and payroll systems are maintained with appropriate data and calculations are being performed correctly.

 

* Partners with Benefits leaders in in vendor negotiations for annual renewals. Owns the vendor relationship and manages day to day operational matters with vendor, negotiates service levels, service level roles and responsibilities and ensures vendor is meeting the service levels.

 

* Applies and keeps abreast of knowledge of benefit compliance including ACA, ERISA, IRS, HIPPA and other applicable regulations to ensure compliance of Olympus leave plans.

 

* Focuses on continuous improvement in regard to compliant policies and processes to ensure seamless administration of the leave of absence programs.

 

* Reports metrics and facilitate discussions on trends, making recommendations on improvements.

 

* May oversee other total rewards or benefits programs that enhance a Healthy Organizational culture

Job Requirements

REQUIRED QUALIFICATIONS:

 

* Bachelor’s degree In Business or related area strongly preferred.

 

* Minimum of 5-8 years of leave of absence and accommodations experience strongly preferred. Equivalent combination of education and experience in human resources benefits related areas and expertise related to leave management.

 

* Knowledge and experience with federal, state and local leave laws and regulations.

 

PREFERRED QUALIFICATIONS:

 

* Equivalent combination of education and experience in human resources benefits related areas and expertise related to leave management.

 

* Employee, Manager, and Vendor management and service experience strongly preferred.

 

* Strong proficiency in Word, PowerPoint, Outlook, Intermediate to Advanced Excel skills, and MS Teams.

 

* Clear understanding of end-to-end employee leave and benefits processes.

 

* Excellent communication (oral and written), interpersonal/customer service skills.

 

* Familiarity with database software.

 

* Analytical and ability to maintain accurate and detailed records.

 

* Ability to organize and prioritize work, take initiative, resolve problems, and manage multiple tasks.

 

* Ability to manage competing demands while being extremely adaptable and flexible.
