Job Description

The Project Analyst within the Medical & Scientific Affairs Program Management Office (PMO) is an exciting opportunity for a talented individual looking to gain experience in project management and communications. As an integral member of the PMO, the qualified candidate will support in the development and maintenance of project and portfolio management (PPM) and strategic planning tools (i.e. communication tools, dashboards, project database, reporting process, central project document repository, KPI tracking mechanisms, etc.) to enable continuous portfolio prioritization and review, and project activation, execution, and reporting. He/she will continue to evolve the process, data maturity, and communication of crucial activities across Medical and Scientific Affairs.

 

The incumbent will report directly to the Lead, Program Management and will engage MSA functions and functional subject matter experts (SMEs) to enhance working practices and adherence to MSA related medical and operational processes.

Job Duties

* Help to drive migration of project data, by working cross functionally to help functional operations set up workflows/guidance/templates for migration and maintenance.

 

* Partner with Project Managers (PM) to ensure alignment with established tools and templates for accurate and timely information Monthly reporting.

 

* Prepare, review, and provide feedback on project reports, dashboards, and scorecards.

 

* Track project KPIs and collaborate with PMs to understand drivers and implications of project KPIs through subsequent changes.

 

* Support Global PMO lead perform project analysis by comparing project progress to baselines and creating compelling presentations to communicate findings, projections, and recommendations to leadership for proactive decision making. Reviewing/flagging monthly reports with deviations from currently approved baselines, digging into why with PMs, flagging potential impacts on next fiscal year budgeting etc.

 

* Work with PMO lead to develop and maintain agendas, coordinate meetings, create and distribute meeting minutes, and delegate and track actions.

 

* Capture, maintain, and present project change history using PPM tool.

Job Requirements

REQUIRED QUALIFICATIONS: 

 

Bachelor’s degree required; Bachelor’s degree in marketing, communications, or business management preferred. 

 

* Minimum of 5 years experience.

 

*  Lean Six Sigma Green Belt Certification required.

 

* Experience working in a global cross-functional team (functional/matrix) environment and knowledge and/or experience working with groups with varied cultural backgrounds and learning styles is required.

 

* Domestic and international travel 5%, including weekend and evening travel as needed.

 

PREFERRED QUALIFICATIONS: 

 

* Formal training in process management methodologies (e.g., DMAIC, Six Sigma, Kaizen) and change management preferred, including project change management and personnel transition management.

 

Excellent attention to detail to support monitoring data integrity at the detail and the summary level.

 

* Experience in developing presentations and communicating data analysis and results to assist decision-making.

 

* Demonstrates strong organizational and planning skills; strong interpersonal and relationship building skills with ability to work in a team environment.

 

* Capable of large-scale event coordination and facilitation.

 

* Track record of successful partnership & collaboration with key stakeholders and business partners.

 

* Experience of influencing and negotiating at management level to achieve delivery.
