Job Description

The Senior Executive Admin is responsible for performing a variety of administrative duties to ensure that the Office of the Chief Quality Officer/ Olympus Corporate Officer operates effectively and efficiently. Properly administers various activities policies and programs so  the CQO is free to focus on Olympus’s  Quality and Regulatory concerns and issues. Prepares reports on a variety of business topics. Coordinates and administers quality system issues as required. Composes and distributes routine and confidential business correspondence. Screens incoming emails and other communications to alert the CQO of critical or urgent developments. Manages a heavy international travel schedule and the expense reports related to business travel. Organizes and schedules international meetings with direct reports, other company officers including the CEO, government competent authorities, and customers. Prepares management presentations. Provides administrative support to the following individuals: Chief Quality Officer and other QA or RA leaders as needed.

     

    Job Duties

    • Administrative Support:  Provides global and executive bilingual administrative support for CQO and leadership team, including global meeting schedules and correspondence, travel arrangements, Japanese/international business relations, contacts and any other assigned tasks including, but not limited to, calendar management, and meeting coordination. 
    • Daily and proactive communication with headquarters in Tokyo, EMEA, Asia Pac and QARA department as required.
    • Ensures seamless execution of travel and activity schedules for OT ExCom and CQO by managing complex itineraries including ever-changing logistics associated with multisite visits, anticipate changing needs, and update those changes in a timely fashion.
    • Possess a global mindset to effectively manage and understanding differing cultures, varying approaches to mutual business objectives, assist in all assigned business communications to resolve issues and improve processes.
    • Support of high-level OT/EMEA Executives visiting the OCA region including, but not limited to, travel arrangements, meeting requests, detailed itineraries including changes and distribution, and other visit preparations by collaborating with each region.
    • Interface with Japanese business partners and vendors in a professional manner.
    • Handle confidential and sensitive information with discretion.
    • Effective bilingual communication skills, both written and verbal, with the ability to report, express ideas, problems, and solutions with clarity.
    • Provide comprehensive, high-level executive support to multiple business leaders/partners.
    • Manages assigned regional/global projects as needed.
    • Provides guidance and support to other administrative QARA staff as needed.

    Job Qualifications

    Required:

    • Associates Degree desired with a bachelor’s degree preferred.
    • Minimum of ten (10) years administrative experience including experience as an executive assistant or 5 years of project management experience.
    • Experience setting up international travel schedules and management of international meetings with direct reports and company officers

     

    Preferred:

    • Strong written and verbal communication skills.
    • Bilingual in English and Japanese highly desirable.
    • Understanding of the principles of customer service.
    • Knowledge of Office Outlook, Excel, Word, Power Point, and other computer software packages.
    • Excellent organizational skills.
    • Basic project management skills.
