Job Description

This position is part of Global Strategy & Operations and will be responsible for collaborating with functional teams to develop communications, improve business process excellence, lead, and assist in process improvement projects generally within Global Medical & Scientific Affairs (MSA); driving project objectives, and developing sustainable business processes and documentation to support and improve organizational agility and operational performance. The individual will collaborate with cross functional teams including internal/external business stakeholders within MSA, across ESD/TSD, and within the broader Olympus organization as appropriate. The incumbent will be integral to the management of MSA Quality Documents (QDs); and driving stakeholder/partner outreach and engagement efforts to obtain awareness, understanding, buy-in, and support.

The incumbent will report directly to the Lead, Program Management and will engage MSA functions and functional subject matter experts (SMEs) to enhance working practices and adherence to MSA operational processes by leading the development of effective communication products using appropriate communication mediums and message senders.

Job Duties

* Drives and supports continuous process excellence/improvement initiatives as prioritized and approved by MSA leadership.

 

* Increase stakeholder engagement/visibility by establishing communication plans spanning strategic initiatives (newsletters, executive presentations, broadcast messages, etc.) including project proposals and supporting documentation; for example, process maps, role responsibility (RACI) documents, project plans for initiatives as well as reports/presentations to global and functional leadership.

 

 * Works across teams to gather information, solicit ideas, analyse gaps and feeds back recommendations to functional leadership.

 

* Supports prioritization of global projects/processes based on business needs and available resources.

 

 * Identifies problems or issues with processes within operations and touch points with other divisions / departments and develops recommendations and workflows based on input to support streamlining and harmonizing global, regional, and cross functional processes and communication efforts.

 

* Develops process feasibility, process workflow outlines, resource estimates for functional resource involvement and project benefit assessments.

 

* Assesses performance and recommends change as necessary to support development of harmonized global processes.

 

* Documents new and revises existing process documentation including Quality Documents, process maps, tools, and training materials. · Supports functional leadership and SMEs to implement processes and assess quality of processes within and across functions.

 

* Oversees and/or participates in management of key enterprise-wide projects and other duties as assigned.

Job Requirements

REQUIRED QUALIFICATIONS: 

 

Bachelor’s degree required; Master's degree with a concentration in communications, marketing, or project management preferred.

 

* Minimum of 7 years industry experience (preferably in multiple phases and multiple roles).

 

* Minimum of 2 years of project management experience, cross functional leadership, and team facilitation is required.

 

* Prior proven track record of significant business process optimization experience preferred.

 

* This position will require constant collaborative interactions with co-workers across functional groups and departments. Strong interpersonal skills, outstanding verbal and written communication skills are essential.

 

* Lean Six Sigma Green Belt Certification preferred.

 

*Experience working in a global cross-functional team (functional/matrix) environment and knowledge and/or experience working with groups with varied cultural backgrounds and learning styles is required

 

* Domestic and international travel 20%, including weekend and evening travel as needed.

 

PREFERRED QUALIFICATIONS: 

 

* Formal training in process management methodologies (e.g., DMAIC, Six Sigma, Kaizen) and change management preferred, including project change management and personnel transition management.

 

Demonstrated competency in developing Quality Documents.

 

* Prior experience in at least one of the following: medical/technical writing, change management, strategic communications, executive presentation.

 

* Cross-functional understanding of project management methodology, change management methodology and communications.

 

* Technical expertise (MS Office Suite, including MS Project and Visio). ·

 

* Strong knowledge and application of global regulations and good document management practices preferred.

 

* Track record of successful partnership & collaboration with key stakeholders and business partners.
