Job Description

This position is part of the Global Strategy & Operations function within the Medical & Scientific Affairs department. The incumbent will be responsible for driving planning and execution of Medical and Scientific Affairs efforts on projects in a timely fashion and within budget. The incumbent will plan, in conjunction with multiple MSA sub-functions, project scope, milestones and resource needs and will monitor progress and budget while keeping stakeholders informed throughout the project life cycle. They will also support the development of sustainable business processes and documentation to reinforce and improve organizational agility and operational performance. The individual will collaborate with cross-functional teams including internal/external business stakeholders within MSA, across ESD/TSD in multiple regions, and within the broader Olympus organization as appropriate.

 

The incumbent will report directly to the Director, Program Management, and will engage MSA functions and functional subject matter experts (SMEs) to enhance working practices and adherence to MSA operational processes.

Job Duties

  • Drives and supports continuous process excellence/improvement initiatives as prioritized and approved by MSA leadership.
  • Determine and document project scope and objectives with SMEs.
  • Predict resources needed to reach objectives and manage resources in an effective and efficient manner.
  • Contribute to and enforce MSA wide resource management
  • Prepare a budget based on the scope of work and resource requirements. Work, where applicable, to understand other MSA cost implications beyond NPD and track and communicate across the portfolio.
  • Track project costs to meet budget.
  • Develop and manage a detailed project schedule and work plan.
  • Stakeholder management: Provide project updates on a consistent basis to various stakeholders about strategy, adjustments, and progress.
  • Manage contracts with vendors and suppliers by assigning tasks and communicating expected deliverables.
  • Utilize industry best practices, techniques, and standards throughout the entire project execution and in consideration of the Business Unit’s portfolio.
  • Risk Management including risk impact to project components, and mitigation plans.
  • Measure project performance to identify areas for improvement.
  • Assess portfolio gaps and needs for evidence planning spanning the MSA sub-functions.
  • Support prioritization of global projects/processes based on business needs and available resources.
  • Develops process feasibility, process workflow outlines, and project benefit assessments.
  • Assesses performance and recommends change as necessary to support the development of harmonized global processes.
  • Documents new and revises existing process documentation including Quality Documents, process maps, tools, and training materials.
  • Any other miscellaneous functional initiatives/business needs as assigned. 

Job Qualifications

Required:

  • Bachelor’s degree in Engineering, Life Sciences, or a related field.
  • Minimum of 4 years of project/program management experience, including cross-functional leadership and team facilitation.
  • Industry experience (preferably in multiple phases and multiple roles).
  • Proven business process optimization experience.
  • Demonstrated competency in developing Quality Documents.
  • Prior experience in at least one of the following: Medical/technical writing. Change management. Strategic communications. Executive presentations.
  • Cross-functional understanding of project management methodology, change management methodology, and communications.
  • Technical expertise of PM Tools: MS Project. Smartsheet. Visio.
  • This position will require constant collaborative interactions with co-workers across functional groups and departments. Strong interpersonal skills and outstanding verbal and written communication skills are essential.
  • Experience working in a global cross-functional team (functional/matrix) environment and knowledge and/or experience working with groups with varied cultural backgrounds and learning styles.
  • Track record of successful partnership & collaboration with key stakeholders and business partners.
  • Experience in influencing and negotiating at the management level to achieve delivery.
  • Domestic and international travel up to 20%, including weekend and evening travel as needed.

 

Preferred:

  • MBA with a concentration in Communications, Marketing, or Project Management.
  • Proven track record of medical device and/or pharmaceutical product development experience.
  • Formal training in project management, process management methodologies (e.g., DMAIC, Six Sigma, Kaizen) and change management, including project change management and personnel transition management.
  • Lean Six Sigma Green Belt Certification and/or PMP.
  • Strong knowledge and application of global medical device regulations and good document management practices.

The anticipated base pay range for this full-time position in this location is $95,000 - $135,000.00 / year, plus potential for annual bonus (subject to plan eligibility and other requirements).   

 

Olympus considers a variety of factors when determining actual compensation for this position, including level of experience, working location, and relevant education and certifications.
