Job Description

The Operations Coordinator II position provides support and management of operational activities in the areas of order management customer master records inbound and outbound supply chain support and equipment master records. This position monitors controlsand manages business operations to meet customer expectations andcompany goals through support of its internal departments primarily Customer Care Sales Support Service Consultants Contract Specialists Inventory Planning Integration Project Managers and Supply Chain and Logistics and Sales Organizations.The Operations Coordinator II also acts as a liaison between vendors internal clients and other Olympus Corporationof the Americas company groups such as but not limited to OSSA Olympus Latin America Division(LAD) and Olympus Canada Inc (OCI). All tasks must be performed with accuracy and data integrity for proper application of Sales Revenue and to ensure JSox Compliance.

Job Duties

* Provide direction to and between all parties involved in the cycle of inbound and outbound product such as Olympus Distribution Centers, Olympus contracted third party manufacturers, and internal customers such as MSG Customer and Sales Support, OSSA, LAD, and OCI related to supply chain and logistics responsibilities. Specifically but not limited to, sales orders ready for delivery or return.

* Validation and investigation of customer master records to includeaccount creations, changes or deactivations. Coordinates customer master account process workflow between internal stakeholders.

* Maintains and controls the creation of and updates to Equipment Master records in SAP Equipment Master/ Installed Base after research andvalidation of ownership data provided for individual model and serial number combinations.

* Administer incoming exception requests for completeness, appropriate approvals and validation of information provided on the request form. Maintains the exception request database with assigned exception identification number and committee determinations.

* Proactively communicate with stakeholders, including Sales Support, Olympus Latin America and Canada Operations and OCA Inventory Planning , as required relative to order status, backorder, , shipping, order tracking and invoicing of sales orders identified in daily review of sales order reporting tools.

* Investigation and research of sales orders to resolve sales order or data discrepancies and communicate necessary steps to proper resolution to order.

* Denotes required field. fulfilment or completion of task.

* Adhere to compliance and JSOX controls as it relates to operations processes and required documentation for audits.

* Perform special projects as necessary to support business requirements.

* Additional duties as assigned.

Job Requirements



* Associates Degree in Business or related discipline is highly preferred or meets requirements of established experience criteria.




* Minimum 3 years Operational Supply Chain or Customer Service experience is preferred.


* SAP Experience preferred.


* Must have intermediate skillsi n Microsoft Office programs including but not limited to Excel and Word.


* Excellent interpersonal and organizational skills a must.


* Ability to prioritize work andto perform multiple tasks simultaneously while adhering to turn around times.


* Basic knowledge of Supply Chain work flows and order life cycle.


* Problem-solving and investigative skills.


* Must work well as a teammember and independently. 


* Ability to understand and follow directions and complex policies and procedures.


* Must have excellent verbal and written communication skills.


* Highly detail oriented with acritical degree of accuracy regarding data entry.
