Job Description
The Grant Workshops team is responsible for organizing Olympus’ in-kind support of independent medical education activities. These activities include hands-on training and live case transmission at courses, congresses, and meetings related to the disease states or treatments for which Olympus products are used.
This position is responsible for planning, implementing, and executing all assigned in-kind Grants. Tasks include, but are not limited to, interpreting educational objectives, identifying applicable Olympus products based on those objectives, creating equipment lists, course logistics, obtaining onsite Olympus personnel support, and ensuring that the Workshops are executed successfully in line with compliance and legal guidelines.
Job Duties
- Plan, implement, execute, and gather feedback on assigned Olympus product Grant events.
- Apply and expand medical device knowledge across all business units to request and review Olympus products needed to support educational objectives.
- Navigate regulations, standards, and compliance requirements to ensure the safety and educational efficacy of the products provided.
- Manage planning and execution of product Grant events, inclusive of:
- Following product Grant processes and procedures to adhere to all deadlines and deliverables.
- Collaborating with Third-Party Requestors, Clinical Educators, Asset Management, Marketing, Sales, and other Medical and Scientific Affairs colleagues.
- Ensuring appropriate, accurate, and complete orders of Olympus products, models, and non-inventory items ordered for product grant events
- Identifying and assigning Olympus staff to support products onsite.
- Ensuring assigned staff are prepared to compliantly support Grant events, including the inventory and proper return of all Olympus products and property.
- Managing logistics, including the timing for delivery and pickup.
- Supporting onsite lead with logistics and equipment management.
- Resolving and documenting all issues that occur.
- Understand and interpret compliance and legal guidelines regarding the product Grant event. Ensure Grants program guidelines are communicated and met in the planning and execution of event. Identify compliance and/or legal risks. Report issues as directed.
- Support in-kind equipment at Grant events as the onsite lead as needed.
- Perform all other related duties as assigned.
Job Qualifications
Required:
- Associates degree or relevant equivalent experience required.
- Minimum of 2 years of experience in a combination of office administration, project coordination, event planning and execution, and operational/analytical/logistics role is required. Minimum of 2 years’ experience working with medical devices required.
- Proven ability to manage multiple projects involving numerous internal and external stakeholders.
- Exceptional organizational and process-management skills with ability to multi-task.
- Skilled with Microsoft Office applications (Excel, Word, PowerPoint). SAP and SalesForce experience a plus.
- Travel including overnight, weekend, and international travel is required. Approximately 10% of time is spent travelling for internal training and meetings with a potential increased travel schedule during busier seasons.
- Candidate must be comfortable working in a training environment in which human cadavers, live animals, animal tissue and other synthetic tissues are being used in a humane way to support training needs.

The anticipated base pay range for this full-time position in this location is $52,943.00 - $71,474.00 / year, plus potential for annual bonus (subject to plan eligibility and other requirements).
