Job Description

Supervise staff of Contract Operations Specialists within Olympus' Business Services of the Americas (OBSA) Group with responsibility for incoming Group Purchasing Organization (GPO) and Integrated Delivery Network (IDN) operational requests and contract implementations. Implement, maintain and manage all contract agreements and disseminate workload to team and support their efforts by providing advice training and development opportunities. Support Corporate Accounts in operations related functions for all Contracts. Coordinate with the Contract Administration and Contract Operation teams to ensure proper communication and teamwork to meet departmental goals.

Job Duties

* Recruits, identifies, trains, and provides supervisory support to applicable Sr. Contract Specialists and Contract Specialists. Retains detailed knowledge of terms and conditions of all IDN contract programs to provide guidance and training Contract Operations Specialists.

 

* Supervises creation of sales history data and customized product price lists for analysis and submission to Corporate Accounts customers as part of formal RFP response and IDN contracting processes.

 

* Participates in pre-contract award discussions and provides business intelligence to support corporate initiatives related to healthcare contracting.

 

* Reviews / Approves / Maintains IDN contract pricing within the Enterprise Resource Systems (SAP) including initial contract price file load and all modifications due to product additions/deletions and price increases/decreases. Oversee and maintain contract membership through SAP hierarchy.

 

* Responsible for the oversight and processing of administrative fees and rebates including sales volume reports, and rebate analysis checking for accuracy and distributing for approval as required by specific IDN agreements. Responsible for weekly review and approval of team member timesheets as well as goal setting and review process.

 

* Manages the creation of ad hoc reports as required by sales and HCS in support of new program development customers' requests and to meet other needs of the organization.

 

* Provides initial advice to field sales and customer service regarding contract policies and problem resolution regarding contract issues (including membership pricing and admin fee payments); escalates problems to senior management as necessary. Provides assistance to contract administration personnel within Olympus's corporate account clientele to resolve questions/problems with regard to pricing customer service issues and other information requests.

 

* Serve as a systems and contracts subject matter expert.

 

* Responsible for providing continued support to contract operations team ITS and Sales Operations. Responsible for participating in the ongoing development, implementation, and maintenance of contract operations systems ensuring the formulation of contracts, information systems, policies, procedures, methods, operating practices, and performance are in compliance with corporate and regulatory requirements. Responsible for JSOX and Internal audit compliance documentation.

 

* Mentor, manage, and encourage development and learning within the Contract Operations group.

 

* Performs other related duties as assigned.

Job Requirements

REQUIRED QUALIFICATIONS:

 

* Bachelors degree or equivalent experience required.

 

* Minimum 5 years experience in contract administration required.

 

* Strong Excel skills required.

 

PREFERRED QUALIFICATIONS:

 

* Knowledge of GPO/IDN segment of healthcare industry preferred.

 

* Experience supervising or leading teams preferred.

 

* Excellent written and verbal communication skills.

 

* Microsoft Office proficient.

 

* Experience in the healthcare industry highly desirable including direct experience with Group Purchasing Organizations and Integrated Delivery Health Networks.

 

* Demonstrated ability to handle multiple tasks concurrently.

 

* Must be able to work independently multitask and prioritize workload in order to meet demanding deadlines.

 

* SAP Oracle or similar ERP experience is strongly preferred.
