Job Description

The Contract Operations Specialist will support the Leveraged Contract Department in the successful implementation administration and ongoing contract maintenance of all leveraged contract types. Incumbent will be responsible for booking contracts in ERP system performing contract reconciliations on demand contract reporting and all areas of updates and tracking in contract management system.

Job Duties

* Perform Contract set-up and maintenance of all Leveraged Contracts in ERP system.

 

* Manage updates to contract as they relate to product changes.

 

* Perform contract pricing uploads and price entry for all leveraged contracts.

 

* Create asset order as part of contract set-up for certain leverage contract type and manage customer contact attributes for asset orders.

 

* Perform audits and at times reconciliations to ensure return date of asset on contract match end date of contract.

 

* Work/liaison with Asset Retrieval group in validating that contracted assets are returned and order in ERP system is closed upon disposal of contract.

 

* Provide list of expired contracts to assigned sales representative and contract analyst to ensure contracts are renewed or properly disposed of.

 

* Performs cross checks and audits of all executed leveraged contracts.

 

* Performs contract end of term reconciliation to ensure contract requirements/commitments are satisfied.

 

* Create contract settlement or compliance billing if required and maintain in ERP system.

 

* Work in liaison with OCA Reporting in managing the reporting distribution of automated reports and complete on demand requests for contract compliance updates which may fall in-between the automated submissions.

 

* Assist in answering contract compliance related questions that OCA Reporting might forward and provide any requested detailed reporting should the field or customer request it.

 

* Research contract pricing discrepancies.

 

* Works with Team Lead to track key KPIs related to implemented contracts.

 

* Ensures accuracy of compliance reports and work with Team Lead and Contract Manager to continually improve reporting notifications and evolving needs of customers and sales reps.

 

* Collaborates and drives continuous efficiencies with all internal partners such as Contract Administration Customer Service Asset Management and Retrieval and other internal departments.

 

* Performs other related duties as assigned.

Job Requirements

REQUIRED QUALIFICATIONS:

 

* Bachelors degree or Military Experience or equivalent experience preferred.

 

* Minimum 3 years experience in contract administration.

 

PREFERRED QUALIFICATIONS:

 

* Prior experience in contract administration strongly preferred.

 

* Working Business Objects/Showcase Reporting experience or relatable.

 

* System Reporting experience strongly preferred.

 

* Excellent written and verbal communication skills are essential.

 

* Must be highly organized detail-oriented and results-driven.

 

* Working SAP experience or relatable ERP experience strongly preferred.

 

* Strong proficiency with Microsoft applications (i.e. Word Exceland Access) is necessary.
