Job Description

This position is responsible for collaborating with ITS, management and other internal and external business partners who have an impact on complaint handling systems and processes to ensure that these systems and processes are appropriately validated, integrated and maintained in accordance with all applicable regulatory and business requirements. The Complaints Business Analyst works with ITS, business partners and other subject matter experts to develop clear specifications and requirements for integrated systems and ensures that these are properly documented, tested and implemented.  The incumbent works closely with the Process Engineer to ensure that systems deployed in the Americas are aligned and compatible with Olympus global complaint business and system requirements. The Complaints Business Analyst supports any special projects or initiatives that may have impact on the complaint handling system and processes

Job Duties

* Reviews proposed changes to any internal or external systems or business processes that could impact complaint handling systems or processes.


* Works with process owners and subject matter experts to develop clear user requirements and specifications for complaint impacting systems in the Americas.  


* Works with technical staff to ensure functional specifications associated with complaint systems (or systems integrated with complaint systems) are aligned with user specifications and requirements.


* Ensures complaint system specifications and requirements are appropriately documented and maintained.


* Works with Process Engineers and Subject Matter Experts to ensure systems are designed to support both business and regulatory requirements.


* Supports testing and validation activities associated with complaint systems (and/or business systems integrated with or impacting complaint systems and processes).


* Ensures that testing and validation records associated with complaint systems (and/or business systems integrated with complaint systems and processes) are collated, maintained and accessible to internal and external auditors and inspectors.


* Works with the Market Quality complaint handling team and other business partners to ensure complaint handling systems continue to function as designed and validated.


* Works with domestic, regional and global business partners to maintain the integrity of data stored in or used by complaint-impacting systems.


* Works in a support role as needed on special projects related to complaint-impacting business systems.

Job Requirements



Requires a Bachelor's degree (or equivalent work experience) in business information services or business management.


* Minimum of 5 years of experience in business analysis or related field. Experience in Medical Device Quality Compliance is preferred but not required.  


* Knowledge of Microsoft Office and PowerBI required.




* Possess a high degree of self-reliance, initiative, and analytical skills.  


* Experience with software development projects. 


* Demonstrated high level of written and oral communications. 


* Knowledge of FDA medical device regulations desirable.
