Job Description

Performs a variety of administrative duties and properly coordinates various departmental activities at the direction of the Chief Medical Officer. In addition, also provides administrative support to the Vice President of Health Economics and Market Access (HEMA). Serves a point of contact and disposition of requests on behalf of CMO for Medical and Scientific Affairs (MSA).

Job Duties

  • Optimizes calendar management for short and long term for the Chief Medical Officer (CMO) and Vice President, Health Economic and Market Access.
  • Properly schedules, plans, coordinates and executes various types of local and global meetings and events.
  • Supports the MSA Leadership Team members and visitors as appropriate. Organizes & attends (when needed) meetings for the Medical and Scientific Affairs.
  • Makes travel arrangements and manages expense account for the CMO. Prepares and coordinates travel itineraries and events at the direction of Chief Medical Officer (including transportation, lodging, dining, etc., for both domestic and international travel).
  • Assist in creating of presentation slides for meetings as needed.
  • Event & Meeting Execution – regional and global meetings and events for MSA. This will include catering, creating and maintaining itineraries, agendas, meeting logistics, etc.
  • Stays up to date on corporate policies and processes as related to travel, expense management, etc.
  • Responsible for creating SharePoint sites to share information for the MSA Leadership Team.
  • Coordinates with IT and arranges for proper computer equipment. Helps to troubleshoot issues.
  • Ensures billing charges are appropriate for invoices related to spend management for the CMO and VP of HEMA.
  • Performs other duties as directed.

Job Requirements

Education*:

  • Associate’s degree in business strongly preferred; high school diploma with equivalent work experience.

Experience*:

  • Minimum of 7 years administrative experience with at least 2-3 years of providing support at executive level.

Skills:

  • Strong written and verbal communication skills. Tact and diplomacy.
  • High degree of discretion regarding confidential matters.
  • Understands the principles of customer service.
  • Knowledge of Microsoft Office 365 (Outlook, PowerPoint Excel, Word, SharePoint, Teams, etc.) required.
  • Working knowledge of software for travel and expense management required (Concur preferred).
  • Excellent organizational skills and attention to detail.

Other Considerations (travel/hours availability, etc.):

  • Some occasional availability for a global schedule (early morning or late evenings as needed).

The anticipated base pay range for this full-time position working at this location is $27.32 - $36.88 / hour, plus potential for annual bonus (subject to plan eligibility and other requirements). Olympus considers a variety of factors when determining actual compensation for this position, including level of experience, working location, and relevant education and certifications.
