Job Description

This position carries significant responsibility and relies on both collections and customer service experience and judgment to accomplish and meet customer s needs and Olympus s compliance and delinquency expectations. This position provides a continuous point of contact with Olympus Sales, Product Managers and Third Party Vendors and will serve as the central point in resolving all Demo asset returns related issues. Additionally, as the compliance landscape has changed this position will work closely with the Compliance Department.

 

The Asset Retrieval Administrator is responsible for: The retrieval management of assigned accounts related to the thousands of assets under all Olympus Demo inventory.

 

Olympus Demo inventory include but are not limited to:

  • Cental Demo, Core Demo, Marketing, Product Loans, Grants, Tradeshows, Workshops, and any other programs that may fall under the Asset Management group.
  • The coordination and administration of the Olympus Centralized Asset Return Process. This duty requires coordinating the return logistics with Reps, Product Managers, Third Party Vendors to ensure assets are returned to Olympus as quickly and cost effectively as possible.
  • All customer service and Asset collection activities within his or her specified assigned area and the coordination of compliance reporting to the Compliance Department.

Job Duties

* Liaise with both internal and external customers with level of due diligence to ensure return of consignment assets.

 

* Generating compliance invoices for failure to return units associated with billable consignment event agreements.

 

* Reversing manual invoices when asset is returned within designated timeframe.

 

* Transferring ownership when invoices are paid. data for accuracy, make corrections and notify Supervisor about escalated issues and discrepancies.

 

* Utilize FedEx' s tracking system to set up and follow up on the return shipment of asset units.

 

* Act as point of contact for Sales, Marketing, Consignment event owners when assistance is needed on certain retrieval issues (e.g., customer non- compliance with the return of overdue equipment.

 

* Respond to all phone calls and e- mails from internal and external customers within 24 hours.

 

* Provide copies of agreements and supporting  information to Sales and Marketing upon request.

 

* Resolve procedure- reporting issues, recommend and take appropriate actions on discrepancies to resolve issues.

 

* Resolve or direct Sales Reps to appropriate contacts on any issue.

 

* Initiate and consistently communicate our collection process following guidelines, policies, and procedures for all delinquent consignment returns within assigned area.

 

* Reduce delinquency of outstanding assets at accounts in assigned portfolio.

 

* Follow set guidelines for resolving disputed freight claims with Supply Chain.

 

* Document policy violations found and escalate to Compliance team, as necessary.

 

* Perform other related duties as assigned.

Job Requirements

REQUIRED QUALIFICATIONS:

 

* High School Diploma and four years of customer service or collections experience required.

 

OR

 

* Associates Degree plus two years of customer service or collections experience.

 

OR

 

* Bachelor's Degree Business Major
