Job Description

As the Sales Support Specialist, you are responsible for the Field Sales and Service teams by managing a significant portion of the administrative work associated with sales. It involves assisting Field Sales and Service with all internal interactions related to the sale or service of Olympus products. The role will take ownership of concerns raised by Sales Representatives and ensure those issues are resolved, which includes collaborating with internal groups to find solutions. Note: The initial working hours will be from 8:30 a.m. to 5:00 p.m. After this period, the permanent schedule will be from 7:00 a.m. to 3:30 p.m.

Job Duties

  • Provide proactive, universal support to Sales Reps as the single point-of-contact for Sales and Service on all back-office sales processes (e.g., entering contracts, monitoring contracts for compliance, entering orders, creating capital, disposable, and rental quotes, following up on open orders, addressing expiring contracts, etc.).
  • Manage the inflow of electronic communication (via email, phone, Skype, etc.) from internal and external customers to handle assigned tasks. This includes taking action and responding to requests promptly and following established department guidelines.
  • Proactively execute and monitor Field Sales and Service reports to minimize customer dissatisfaction.
  • Coordinate the sales rental process from product selection, quoting, and contract verification, to the timely arrival of products for procedures or courses.
  • Review complex purchase orders involving quotes for accuracy and completeness.
  • Ensure that purchase orders are reviewed for special terms and work with Contract Administration, Operations, and/or Legal to update and finalize order acceptance.
  • Collaborate with other business partners as needed to resolve issues.
  • Other duties as assigned

Job Qualifications

Required:

  • High School Diploma or equivalent required.
  • Applicants must have at least three years of experience in Customer Service or Sales Support.
  • The initial working hours will be from 8:30 a.m. to 5:00 p.m. After this period, the permanent schedule will be from 7:00 a.m. to 3:30 p.m.
     

Preferred:

  • ​​​​​​​Associate's degree preferred.
  • Experience with Microsoft Excel, SAP, and Salesforce is preferred.

The anticipated base pay range for this full-time position working at this location is $25.79 - $33.52 / hour, plus potential for annual bonus (subject to plan eligibility and other requirements). Olympus considers a variety of factors when determining actual compensation for this position, including level of experience, working location, and relevant education and certifications.
